Booking Terms and Conditions

Service Overview:

  • Service Name: ZAKS Pud Pod

  • Events Catered: Private parties, weddings, charity functions, school fairs, sports days, and other events.

  • Service Area: Usually within 25 miles of Pickering (YO18).

Booking Process:

  1. How to Book:

    • Booking enquiries can be made online, by phone, or via email.

  2. Advance Booking:

    • Please book as early as possible to secure your preferred date.

  3. Booking Confirmation:

    • Once a non-refundable deposit is paid, we will confirm the booking in writing.

Payment Terms:

  1. Accepted Payment Methods:

    • We accept credit card, bank transfer, and cash.

  2. Deposit:

    • A non-refundable deposit of £50 is usually required to secure the booking, at our discretion.

  3. Balancing Payments:

    • Balancing payments must be settled prior to our departure from the event, if not before.

    • Any products you have agreed to pay us directly for (rather than us charging your guests) should be settled before our departure, if not before. Any deposit paid will be deducted from this payment.

    • Should the value of products taken during our visit fall short of the deposit amount, no refund of the deposit balance will be given. For example, if a £50 deposit is taken, but fewer guests attend, or order from us less than the value of £50, we will retain the value of the deposit as a minimum visit charge.

  4. Additional Fees:

    • Travel expenses may apply for locations outside the 25-mile radius of Pickering.

    • Any additional setup fees will be discussed at the time of booking.

    • We reserve the right to invoice an additional mileage charge (if not already requested), should the minimum visit charge take effect.

Cancellation and Refund Policy:

  1. Client Cancellation:

    • Cancellations made up to 4 weeks before the event will receive a refund of any payments made, excluding the deposit.

    • Cancellations made within 4 weeks before the event will not be eligible for a refund.

    • Deposits are non-refundable upon client cancellation.

  2. ZAKS Pud Pod Cancellation:

    • If we need to cancel the booking due to unforeseen circumstances (for example, but not limited to, mechanical breakdown), a full refund of the deposit will be made if the breakdown occurs prior to arrival. If the breakdown occurs during our attendance, no refund will be automatically payable, but will be at our discretion and based around time in attendance and functioning.

Transferability:

  1. Booking Transfer:

    • Clients may transfer their booking to another date or person, subject to availability and our prior agreement.

  2. Conditions for Transfer:

    • Transfers must be requested at least 4 weeks before the original event date. If we are unable to accommodate the new date, the booking will be deemed as cancelled with the loss of any deposit paid.

    • Booking transfers cannot usually be made within 4 weeks of the event date. In this case, the booking will be deemed as a client cancellation and rebooking, with loss of deposit and requirement of a new deposit to be paid.

Service Conditions:

  1. Venue Requirements:

    • The venue must be an outdoor location with suitable vehicular access and adequate space for the van.

  2. Weather Conditions:

    • We understand a poor weather day can ruin any event. We're sorry, but we are unable to refund any deposits should an event be cancelled or curtailed due to inclement weather within 1 week of the event date. Any balancing payment will also still be due, as preparations and stock will have been purchased in anticipation of the event.

  3. Unforeseen Circumstances:

    • In the event of unforeseen circumstances that prevent us from attending (for example, but not limited to, mechanical breakdown), we will notify you as soon as possible and offer a full refund or rescheduling options.

Client Responsibilities:

  1. Permits and Access:

    • Clients are responsible for obtaining any necessary permits and ensuring venue access for the van.

    • We must be able to park up legally. It is the client's responsibility to check there is enough space and a suitable area for us to do this. Failure to accommodate would result in cancellation and all monies becoming due for payment.

  2. Attendee Conduct:

    • Clients are responsible for ensuring the proper behaviour of event attendees around the van.

    • Unsafe, unruly, threatening, or abusive behaviour may result in your booking being cancelled or curtailment of service. All monies and deposits will become due and withheld.

Liability:

  1. Disclaimer:

    • Within the scope of the law, ZAKS Pud Pod is not liable for any personal injury or property damage that occurs during the event.

  2. Indemnity:

    • Clients agree to indemnify and hold harmless ZAKS Pud Pod from any claims, damages, or expenses arising from the event.

Data Protection:

  1. GDPR and Data Protection Act 2018 Compliance:

    • Our website is secured by an SSL certificate (https).

    • We use optional cookies to gather some information while browsing, as detailed in our cookie policy.

    • All personal information will be held as securely as possible and will not be sold or shared with third parties.

Health and Safety Regulations:

  1. Insurance:

    • We hold the required public and product liability insurances up to £10 million.

  2. Food Hygiene:

    • We are registered with the local council and hold a 5-star food hygiene rating. All staff are qualified to Food Hygiene Level 2 standard or above.

Accessibility and Equality:

  1. Non-Discrimination Policy:

    • We do not discriminate and offer our service to all, wherever possible.

Miscellaneous:

  1. Changes to Terms:

    • ZAKS Pud Pod reserves the right to update these terms and conditions at any time. Clients will be notified of any significant changes.

    • These terms and conditions are governed by the laws of England.

Dispute Resolution:

  1. Mediation and Arbitration:

    • Any disputes arising from these terms and conditions will be subject to mediation or arbitration before any legal action is taken.

By booking ZAKS Pud Pod, clients agree to these terms and conditions.
